1. Introduction

Welcome to CostPilot AI. We are committed to protecting your personal data and respecting your privacy. This Privacy Policy explains how CostPilot AI ("we," "us," or "our") collects, uses, discloses, and safeguards your information when you use our website, mobile application, and SaaS platform (collectively, the "Service").

Please read this Privacy Policy carefully. By accessing or using our Service, you acknowledge that you have read, understood, and agree to be bound by all the terms of this Privacy Policy. If you do not agree with these terms, please do not access or use the Service.

2. Information We Collect

We collect information that you provide directly to us, information collected automatically when you use our Service, and information from third-party sources. This information is necessary to provide, maintain, and improve our AI-assisted estimating platform.

3. Account Information

When you register for an account on CostPilot AI, we collect personal information that can identify you. This includes:

  • Your name and email address.
  • Your company name and professional role (e.g., general contractor, estimator, builder).
  • Account credentials, including passwords and authentication tokens.

4. Blueprint Uploads

To utilize our AI estimating services, you may upload architectural plans and blueprints in PDF format. These files are stored securely on our cloud infrastructure and are accessed solely to perform the analyses and estimates requested by you. We do not share or distribute your uploaded plans to unauthorized third parties.

5. AI Processing

Uploaded blueprints are processed by advanced artificial intelligence models (including Google Gemini API) to extract structural specifications, identify construction materials, estimate labor requirements, and generate draft cost reports. Your plans and metadata are processed securely, and we do not sell your blueprints or use your proprietary project data to train public AI models.

6. Cookies

We use cookies, web beacons, and similar tracking technologies to enhance your experience, analyze usage, and secure our platform. Cookies help us keep you logged in, remember your preferences, and understand how you interact with our Service. You can manage your cookie preferences through your browser settings, though disabling certain cookies may limit your ability to use some features of the Service.

7. Analytics

We employ third-party analytics services to monitor and analyze the use of our Service. These tools collect information sent by your browser or mobile device, including the pages you visit, your IP address, browser type, and other diagnostic data. We use this data to identify performance issues, improve user experience, and optimize our system resources.

8. Payment Information

When you subscribe to a paid plan, your payment details are processed directly by our third-party payment processor, PayPal. We do not store, view, or process your credit card numbers, CVV codes, or bank account details. Our payment processor processes all payments in compliance with the Payment Card Industry Data Security Standard (PCI-DSS).

9. Data Storage

Your account details, estimate history, and uploaded files are stored securely on cloud infrastructure provided by reputable hosting partners, such as Supabase and PostgreSQL databases. Data centers are located in the United States and adhere to industry-leading physical and logical security protocols.

10. Security

We implement a variety of administrative, technical, and physical security measures designed to protect the safety of your personal information. This includes SSL/TLS encryption for all data in transit, AES-256 encryption for data at rest, strict database access controls, and regular system vulnerability scans. However, no method of transmission over the Internet or electronic storage is 100% secure, and we cannot guarantee absolute security.

11. Third-Party Services

We share your information with trusted third-party service providers only as necessary to perform services on our behalf. These partners include authentication providers, database hosts, payment processors, and AI infrastructure providers. All third-party service providers are contractually obligated to protect your data and are prohibited from using it for any other purpose.

12. User Rights

Depending on your location, you may have certain rights regarding your personal data. These rights typically include:

  • The right to access and receive a copy of the personal data we hold about you.
  • The right to request the correction of inaccurate or incomplete personal data.
  • The right to request the deletion of your personal data ("the right to be forgotten").
  • The right to restrict or object to the processing of your data.
  • The right to data portability, allowing you to obtain and reuse your data across different services.

To exercise any of these rights, please submit a request to our privacy team using the contact information below.

13. Data Retention

We retain your personal information, uploaded blueprints, and generated estimates only for as long as your account remains active or as needed to provide you with the Service. If you choose to close your account, we will delete or anonymize your personal data and delete your uploaded blueprints in accordance with our standard data deletion cycles, except where retention is required by law.

14. Children's Privacy

Our Service is designed for professional construction contractors and estimators and is not intended for use by children. We do not knowingly collect or solicit personal information from anyone under the age of 13. If we become aware that we have collected personal information from a child under 13 without verification of parental consent, we will take immediate steps to delete that information from our servers.
